Strange Email Formatting with Outlook
Formatting your emails in outlook may seem simple, especially when you use html as format and/or word as the email editor. But the ugly truth is hidden behind the pretty email you see as quite nasty html code. There are a simple solution to this problem though. You can change your default email writing software from word to the built in editor and turn html off. For more on how to do this keep on reading. Please note that the instrucions may not be correct when it comes to menu options due to many versions of outlook, but the basic idea will still be correct.

Here's my take on this problem ...
The problem can be found in the html code created by word. It may look good when viewed in the email as you write and format it but the problem is that there are a lot of people not using outlook (word/html) at the receiving end of your emails. They may in many cases not have an email program that can work out all the html code correctly and the result is that the email comes out looking completely twisted.
In this case I point my accusing finger on words as a rich text (html) formatter. The code created just isn't "standard" enough to work well.
How to Fix the Problem
Here's one way to correct this problem.
1. stop using Word as your email editor. Word is a very competent word processor but way overkill when it comes to creating your email. You'll make emailing much quicker as well if you stop using word as it's a memroy hog and must be loaded for you to use it to create your emails. You won't see your normal word as a separate program though, only the parts needed for email writing.
Depending in what version of Outlook you're corrently using, this may be the correct way to turn the option of using word as your default email editor off. In Outlook, Click on the Tools menu followed by the Options item. Then click on the Mail Format tab. Now, make sure that both the check boxes that reference Microsoft Word are UNchecked. HTML and Rich Text will still work but Outlook will use it's own, faster and more compact, built in editor making things go much faster!
2. Avoid HTML/Ritch Text mail and start using plain text messages. I do understand that adding plenty of colors, flags, sounds, videos, small bears dancing, kittens making noices, a dancing baby, complex tables with your latest tax return and complex drawings of your floorplan is a must in every email you send but going for only text will result in your email being smaller, faster to transmit and display, and much less likely to be flagged as spam.
I think most emails sent will work equally well when sent as text and not html..
In Outlook, Click on the Tools menu, the Options item, and then click on the Mail Format tab. Make sure that the dropdown next to Compose in this message format: is set to Plain Text.
Using HTML is ok when needed. If you send out emails that require complex formatting including colors, images, fonts and multimedia then you have no choice. Still, knowing what is required and what can happen is good. So create your email and send it to yourself and check it out in several email softwares if you're unsure about the format.
